We strive to be as flexible as possible with cancellations and provide a hassle free experience to our customers. However, cancellations may result in costs and inconveniences that may affect both our operations and those of other customers. That’s why, we have established the following cancellation policy:omer personal information to any third party until we take permission from customer. If any customer buy our services from our website “helloindiatour.com” or our trade partner, then we receive some personal information of our customer such as Name, Age, Gender, address and transactions history. We use personal information of our customer as mention below.
1. Cancellation by the Customer:
1.1 Individual Tour (Group Size 1-5):
- Cancellation made less than 24 hours prior to the departure of the scheduled tour will eligible for Full Refund.
1.2 Individual Tour (Group Size 6-10):
- Full refund will be given for tickets canceled more than 8 days before the departure of the scheduled tour.
- Cancellation 3-7 days prior to departure of the scheduled tour will be eligible for 50% refund.
- Cancellation made less than 3 days prior to the departure of the scheduled tour will not be eligible for refund.
1.3 Group Tours (group size 11 or more):
- Full refund will be given for tickets canceled more than 7 days before the departure of the scheduled tour.
- Cancellation between 15-30 days from the departure of the scheduled tour will be eligible for 50% refund.
- Cancellation made less than 15 days prior to the departure of the scheduled tour will not be eligible for refund.
1.4 Customized Tours:
- Cancellations made more than 14 days prior to the departure of the scheduled tour will be eligible for a full refund less any non-refundable costs incurred during the planning process.
- Cancellations made between 7-14 days prior to the departure of the scheduled tour will be eligible for a 50% refund less any non-refundable costs incurred during the planning process.
- Cancellation made less than 7 days prior to the departure of the scheduled tour will not be eligible for refund.
2. Refund Policy for Train Tours
2.1 Refund Eligibility:
- Refund will be considered on cancellation at least 5 days before the scheduled departure of the train.
- No refund will be issued for cancellations within 4 days of scheduled train departure.
2.2 Refund Process:
- Cancellations made 5 days or more before the scheduled departure date are eligible for a refund.
- Refunds will be processed after deducting the train ticket amount, plus applicable charges levied by the train coach and payment gateway.
2.3 Refund Calculation:
- The refunded amount will be the total fare paid less the price of the train ticket and any charges levied by the train coach and payment gateway.
- The amount deducted will be clearly specified in the refund statement.
2.4 No refund within 4 days:
- Cancellations made within 4 days of the scheduled departure date are not eligible for any refund.
2.5 Refund Request:
- To request a refund, please contact our customer support team through the given channels, quoting your booking details.
- Refund requests must be made before the scheduled departure date
2.6 Processing Time:
- Refunds will be processed within a reasonable time frame once the cancellation is approved.
- Please allow enough time for the refunded amount to reflect in your account.
2.7 Non-transferable:
- Refunds are non-transferable and will be issued to the original payment method used for the booking.
2.8 Exception
- In case of train service disruption or other extraordinary circumstances, the refund policy may be subject to change. Passengers will be informed immediately about any such changes.
3. Cancellation Policy & Conditions of Travel for Wildlife Tours
Acceptance: When a client makes payment for a wildlife tour, they are understood to have read and accepted this Cancellation Policy & Other Conditions of Travel as outlined below.
3.1 Cancellations and Refunds
- More than 51 days before departure: Refund of 85% of the deposit.
- Between 50 and 36 days before departure: Refund of 70% of the deposit.
- Between 35 and 16 days before departure: Refund of 50% of the deposit.
- Within 15 days of departure: No refund is allowed.
Please note that Hello India Tours is also subject to the cancellation policies of third-party suppliers, including national parks and accommodations, which may affect refund amounts.
There will be no refunds for unused services or meals during the tour.
3.2 NOTES: Travel plans are made at the client’s own risk. Hello India Tours will not be responsible for cancellations or changes due to:
- Missed flights
- Visa or travel document issues
- Flight delays or cancellations
- Traffic, transport delays, or weather conditions
- Illness, injury, or personal matters
- Government-imposed restrictions, including those related to pandemics such as COVID-19.
Clients are strongly encouraged to purchase comprehensive travel insurance with cancellation and curtailment coverage.
3.3 Insurance
Comprehensive travel insurance is mandatory and must be arranged in the client’s home country at the time of booking. Hello India Tours will not be held liable for clients who fail to secure appropriate insurance coverage.
3.4 Responsibility
Hello India Tours, its employees, and agents take care to ensure a safe and enjoyable experience. However, the company is not liable for:
- Delays, cancellations, or disruptions to onward travel.
- Loss, damage, or injury to personal property or individuals during the tour.
3.5 Alterations to Tours
Hello India Tours reserves the right to modify itineraries, accommodations, or transportation based on conditions or requirements.
3.6 Game Drives
Game drives in open safari vehicles are conducted by licensed drivers. Clients participate at their own risk, and Hello India Tours will not be responsible for injuries, loss, or damage to personal belongings, including cameras or binoculars.
3.7 Wild Animals
While rare, incidents involving wild animals can occur. Clients should exercise caution, as wildlife encounters may involve inherent risks. Hello India Tours and its partners cannot be held liable for injuries caused by wildlife.
3.8 Indemnity Forms
Clients will be required to sign indemnity forms upon entering national parks or participating in activities at private lodges.
3.9 Health & Safety
- Malaria precautions: Recommended during the rainy season (October to May). Protective clothing, insect repellent, and medications like Malarone are suggested.
- Vaccinations: Clients are responsible for their vaccinations and inoculations.
3.10 Special Requests
Clients should inform Hello India Tours of any dietary requirements or medical conditions (e.g., diabetes, vegetarian diet) at the time of booking.
3.11 Baggage
For small group safaris, luggage is limited to:
- One check-in bag: Maximum 20 kg
- One cabin bag: Maximum 7 kg
Clients with excess baggage must inform the office in advance.
3.12 Photos & Reviews
By submitting photos after the tour, clients consent to their use in Hello India Tours’ marketing materials.
4. Cancellation by Hello India Tours:
- In the unlikely event that we have to cancel a tour, we will inform you as soon as possible and give you the option of rescheduling or getting a full refund. We do not take cancellations lightly and will only cancel a tour if there are unavoidable circumstances such as extreme weather conditions, natural disasters or safety concerns.
5. Cancellation Process:
- To cancel a tour, you must notify us in writing (email or letter) or by calling our customer service hotline. Include the details of your booking, including tour dates, the name of the main passenger and any other relevant information.
6. Refund Process:
- Refunds will be processed within 14 business days from the date of cancellation. Refunds will be made through the original payment method used during the booking process.
- Please note that any additional charges due to currency conversion or bank charges will not be covered by Hello India Tours and the final refund amount may be less.
- We highly recommend purchasing travel insurance that covers trip cancellation or interruption to protect against unforeseen circumstances.
- By booking a tour with Hello India Tours, you acknowledge and agree to comply with our cancellation policy. We reserve the right to update or modify this Policy at any time, and the latest version will be effective immediately.
